The flow starts here, Drop Order. Your Customer Service (CS) sees product orders and then requests them to Warehouse by system. In real time, the system notifies Warehouse. Then, Warehouse pick, scan, and 'drop' it to CS. All this flow is recorded in the system. It enables you to easily trace potential product lost. What if customer cancel order? CS can simply return it to Warehouse. Yes, this is recorded too!
CS creates Book Order and attach Book Order Slip to the product. Hence, mistake of order swap is reduced. It is very important especially when inventory is low. We want to send the right product to the right customer.
The system will automatically compare and alert which Book Order has been paid.
When payment is made by bank transfer, it is important to reconcile money inflow with order. Technically, CSV from your internet banking account (money inflow) will be checked against the Book Order
When you are certain that customer has already made payment to the right order, sales slip can be printed. CS will scan product barcode, do final validation, and print the sales slip as proof of transaction.
Delivery Label can be printed at this point. It contains customer address, name, and all delivery information already.
Layout and formatting are already made suitable for commonly used 'self-adhesive' labelling size, that is #120 (78 x 118 mm). You could just buy the label and you are ready to print (no hassle in setting printer, cut paper, or apply glue)
The Delivery Label has already contain AirWay Bill barcode! It is printed. And already recorded in the SOFTWORK system and delivery partner's system. Thanks to SOFTWORK integration with carriers, AirWay Bill Number is automatically generated for you. CS could just wait for the pick up (no need to write manual delivery slip anymore)
Discipline in doing the flow will result in report that is worth your while, detailed and meaningful. Sales report, especially, can smoothen process of reconciling AWB Number generated vs money inflow vs carrier invoice. Your accounting department will thank you.
